On the customer or vendor card, pick the Person In Charge Code under General. This assignment takes priority over the user setting.

From then on, the assigned person in charge appears automatically on every new order, purchase order and invoice, across sales, purchasing and service.

Open the vendor card and select the Person In Charge Code under General. From then on that person appears on every document for the vendor, even when a colleague with a different person in charge creates the purchase order.
